Host Notifications for Individual Staff Members and Group Departments

Before setting up notifications for hosts or departments, you need to configure the global settings that enable email and SMS/text notifications. This can be done under the “Messaging & Notifications” section:

- Ensure that sending emails is enabled.
- If applicable, also enable SMS/TEXT.
These steps are prerequisites for notifications to work.
Notification for Individual Staff Members
To set up notifications for individual staff members:
- Enable Host Info Collection:
Ensure that host information collection is enabled in your SmartLobby settings.

Create New Staff Members with Email and Phone Number:
- Make sure the phone number starts with either
00or+. - The staff member must have a visitor type (
I am) set to ‘staff’.

The added staff members will appear in the type-ahead on the “I am visiting” screen.
Notification for a Department
Some larger organizations, such as car manufacturers, have many departments (e.g., Electricity, Mechanics, HR, IT, etc.). They may prefer not to have individual staff members as hosts. Instead, they can assign an email and a phone number to each department.
To set up notifications for a department:
- Disable Host Info Collection:
Ensure that host info collection is disabled in your SmartLobby settings.

- Enable Department Field and Provide:
- A list of emails for each department, one per department.
- A list of phone numbers for each department, one phone number per department.

Now, when a visitor signs in, the chosen department will receive the email and the text message (SMS notifications are available on higher subscription plans only).
