Required Video Approval

You can require visitors to watch a video before they are allowed to sign in — a site safety briefing, a fire procedure, an induction, or anything else you need people to see before they are let through.

You upload the video yourself. Earlier versions of this feature used a YouTube link; that has been replaced, so your video is no longer published on a third-party platform and plays with no adverts, no recommendations and no external branding.

Setting it up

  1. Go to Settings in the admin dashboard.
  2. Open the Required Video Approval section.
  3. Turn on Enable/disable required video approval.
  4. Upload your video with Upload required video.
  5. Choose which visitor types must watch it.

Two options control how strictly it is enforced:

  • Require watching to the end — the Accept button stays disabled until the video finishes. Use this when someone needs to be able to say the briefing was genuinely watched.
  • Autoplay video muted (no sound) — the video starts by itself with no sound, which browsers allow. Leave this off if the audio is part of the briefing.

Keep the video short. Every visitor watches it at your reception desk, and a long briefing turns into a queue. If you need to enforce full viewing, aim for a minute or two.

What the visitor sees

The video appears during the sign-in flow, in the same full-screen viewer used for legal documents. Once accepted, the fact that this visitor has watched it is recorded against their record, so a returning visitor is not asked again unless you replace the video.

Rejecting the video ends the sign-in — the visitor is not signed in and their host is not notified.

Good to know

The video is stored on SmartLobby's servers and streamed to the device, so it plays on the kiosk, in Pocket, and in a phone-based self sign-in alike.

The Required Video section also depends on Visitor Types being enabled, since you choose which visitor types must watch. If Visitor Types are turned off, the section is shown as disabled.
